File Management Intern, BMC Development Office, (Boston, MA)

The File Management Intern is responsible for developing the classification, organization, and retention
of BMC’s Development Office shared file drive. The intern will work closely with a cross-team working
group to understand file types and institutional needs, research established practices for electronic
document storage, and make recommendations on the retention of files, naming conventions,
and versioning histories. The ideal intern will be pursuing a master’s degree in Library and Information
Science with an interest in archives management, technology, or similar specialties. The file management intern would begin the internship by or before January 16 and be available 16-24 hours per week until the project’s
completion.

Key Deliverables

  • Meet with stakeholders to understand business needs by team and department-wide
  • In coordination with project sponsors, develop milestone dates and related timeline
  • Create a folder structure
  • Develop an ordered (alpha/numeric) naming convention for files
  • Build a categorization of files based on functional areas within the development office
  • Document key deliverables and decisions
  • Review existing records on the shared drive and develop retention guidelines
  • Transfer historical records to the archives
  • Purge unnecessary non-records and eligible temporary records
