Archives & Distinctive Collections Coordinator (Part-Time), College of the Holy Cross, Worcester, MA

Reporting to the Head of Archives & Distinctive Collections, the Archives & Distinctive Collections Coordinator is responsible for overseeing the daily operations of the Archives Reading Room including greeting researchers upon arrival, pulling collections for use, ensuring Reading Room policies and procedures are followed, facilitating reproduction requests and managing student workers. S/he plays an active role in responding to reference requests received by the department via email and the telephone. Additionally, s/he provides administrative support to the Archives & Distinctive Collections department and assists with archival functions such as processing collections, updating finding aids and performing basic preservation activities.  Due to the unique nature of archival materials, this position requires some specialized archives and library knowledge from other non-exempt positions.

Major Areas of Responsibility

Reading Room and Public Services:

  • Oversee the daily operations of the Archives Reading Room.
  • Conduct reference interviews to determine patron’s reference needs. Locate and retrieve appropriate material from the collection. Instruct patrons on proper handling and usage of materials, and monitor use of materials.
  • Respond to patron inquiries received via LibAnswers, email, and telephone. Refer complex inquiries and donor inquiries to archivists when necessary.
  • Scan materials or make photocopies for patrons as needed.
  • Collaborate with department staff and student workers in developing, researching, preparing and mounting exhibits, both physical and digital.
  • Assist with the department’s contributions to the libraries’ social media.

Office Support:

  • Train, supervise, mentor, and communicate with student workers. Coordinate with archivists in assigning tasks and oversee students’ work. Coordinate with other library staff who supervise students to establish best practices and policy.
  • Participate in the department’s environmental management program. Initiate, create and coordinate work orders and follow to completion. 
  • Maintain an inventory of office supplies and office equipment.
  • Coordinate with the Library Operations Administrative Coordinator in addressing departmental needs and issues as appropriate.
  • Collaborate with archivists in facilitating the transfer of college records, donations and other materials to the department.
  • Assist with processing archival records including sorting, arranging and filing materials. Maintain the order of the collection and discard duplicate records. Alert archivists of any condition problems that may need to be addressed. Perform basic preservation activities such as rehousing.
  • Prepare, maintain and update finding aids, inventories and collection lists

Other duties as assigned.


REQUIREMENTS:

Minimum Qualifications

  • Bachelor’s degree
  • Demonstrated excellent customer service ethic.
  • Fluency with Google Suite for document and spreadsheet management.
  • Experience in an archive, library or museum environment. 
  • Ability to maintain confidentiality of College records and follow special handling requirements of archival materials set by professional standards.
  • Demonstrated ability to learn new technologies; acquire new skills and solve problems.

Preferred Qualifications

  • Experience working with archival records
  • Experience in an academic library
  • Experience with platforms for the discovery, management, and preservation of archives, library and digital collections.
  • Experience with managing student workers and/or staff.
